Summary

JYAN is hiring a Procurement & Administrative Officer starting October 2025 for a three‑month contract (renewable to one year in January 2026 based on performance and funding). The role is based in Kingston, Jamaica under a hybrid work policy with required in‑office days.

Pay: JM $705,000 gross for the contract period.

Reports to: Finance & Operations Coordinator / Executive Director.

Purpose: Manage procurement processes, handle administrative and operational tasks, and provide direct support to the Programmes and Finance Coordinators.

Education, Expertise & Other Requirements

  • Education:

    • Bachelor’s in Business Administration, Accounting, Finance, or related field OR

    • Associate’s in Public Administration or Procurement Management plus administrative experience.

  • Experience:

    • Minimum 2 years in procurement services.

    • Experience with vulnerable groups, NGOs, or civil society is an asset.

Scope of Work

The Procurement and Administrative Officer is required, but not limited to:

  • Policy Support – Help create and implement procurement policies aligned with accounting standards and ensure organisation‑wide adoption.

  • Procurement Execution – Conduct purchasing in line with organisational and donor rules, with proper documentation.

  • Sourcing – Find and purchase equipment/supplies at competitive prices.

  • Administrative Tasks – Perform general secretarial and administrative duties.

  • Scheduling – Organise and coordinate internal and external meetings/appointments.

  • Records Management – Maintain and organise both digital and physical files.

  • Project Files – Keep accurate records for all projects and major activities.

  • Invoice Tracking – Update invoice database and verify payments.

  • Reception Duties – Manage main phone line, return calls, and respond to WhatsApp messages.

  • Event Mobilisation – Share invitations, follow up with guests, and promote events via WhatsApp and groups.

  • Social Media Support – Respond to messages and post/repost content on JYAN’s platforms.

  • Reporting – Prepare regular updates on admin, procurement, and operations, noting progress and challenges.

  • Procurement Lessons Learned – Record best practices to improve future procurement.

  • Network Lessons Learned – Document best practices in managing the Youth Advocates Network.

  • Report Preparation Assist in creating internal and external reports and related project documents.
