Finance and Operations Officer
The Finance and Operations Officer will have primary responsibility for the management of the administrative and financial aspects of the organisation’s work, overseeing all financial operations and ensuring accurate accounting, budgeting, reporting and compliance with donor and statutory requirements. The Finance and Operations Coordinator will support the Executive Director in the day-to-day management of the organisation’s resources to respond to the programmatic work. The Finance and Operations Coordinator will ensure smooth operations optimised for both office and remote working days.
The Finance and Operations Coordinator is required, but not limited to:
Maintaining the accurate and factual keeping of all records and information relating to JYAN’s projects, programmes, activities and overall operations.
Preparing and executing financial transactions to suppliers and beneficiaries, where required. This includes payments to contractors (monthly/as needed) and the management of internal payroll.
Monitoring the project budgets and project-related financial expenditures, and providing reports and feedback on expenditures and overall burn rate.
Preparing bank reconciliations monthly, and updating appropriate expenditures on a daily/as-needed basis.
Drafting and/or updating Standard Operating Procedures (SOPs) to guide JYAN’s procurements, requisitions and reimbursements processes.
Identifying and drafting relevant policies to ensure proper guidance of the organisation’s day-to-day management, employee and contractor management, and interactions with our Council, volunteers and other children and young people.
Ensuring compliance with relevant regulatory authorities, including the Companies Office, the Tax Administration of Jamaica and the Department of Cooperative and Friendly Societies.
Identifying and evaluating financial risks to the organisation and recommending suitable risk management mechanisms or mitigation strategies.
Identifying and evaluating operational risks associated with the organisation and recommending suitable risk management mechanisms or mitigation strategies.
Coordinating the development of a resource mobilisation plan for the organisation and ensuring the creation of appropriate implementation frameworks and templates.
Developing an organisational investment profile, making recommendations for investments and monitoring and reporting on all investments.
Preparing regular reports on financial activities, including progress, challenges, and impact.
Documenting best practices and lessons learned to inform future advocacy efforts.
Supporting the preparation of reports (external and internal) and other related project documents, as required.
